Email Notifications: Overview

Basin can notify your team, send receipts or autoresponses to submitters, and follow up on incomplete multi-step forms.

What You'll Find in This Section

  • Notification Emails: How to set up emails to you or your team when a form is submitted (recipients, CC/BCC, formats, branding).
  • Auto Responses: How to send one automatic reply to the person who submitted the form.
  • Custom Templates & Merge Tags: Create stunning custom email templates using HTML and Handlebars. Use merge tags to dynamically insert form data and create personalized messages.
  • Incomplete Submission Follow-ups: Follow up with users who don't finish multi-step forms, automatically reaching out when a submission stays incomplete.
  • Confirmation (GDPR) Emails: Send submission receipts with instructions for requesting access to or removal of submitted data.
  • Custom SMTP Server: Use your own mail server for complete control over email delivery and enhanced deliverability.
  • Custom Email Sending Domains: Send emails from your own domain to improve brand consistency and email deliverability.
  • BeeFree Integration: Design beautiful email templates using BeeFree's drag-and-drop editor and import them into Basin.

Email types

  • A notification email goes to the form owner or team when a submission arrives. Notification emails are available on all plans.
  • An autoresponse is one immediate, customizable reply to the submitter. Autoresponses are available on Growth and above.
  • A confirmation (GDPR) email is a submission receipt that includes instructions for requesting access to or deletion of submitted data. It can support your privacy workflow, but enabling it does not by itself make a form compliant with GDPR or another law.
  • An incomplete-submission follow-up is an Agency feature for progressive multi-step forms.
  • Basin account emails, such as password resets and billing notices, are separate from form emails.
  • Drip campaigns, newsletters, and marketing sequences are not native Basin features. Use Zapier, Make, Mailchimp, or another email platform.

Sending options

  • Basin sends form emails through its default delivery service unless you configure another option.
  • Custom Email Sending Domains let Pro and Agency accounts authenticate a domain for Basin-delivered mail.
  • Custom SMTP Servers let Pro and Agency accounts route mail through their own server. Pro supports one custom SMTP server; Agency supports unlimited servers.
  • A custom email sending domain is separate from the custom site domain used by a Basin-hosted AI Site.
